Wholesales Sales Data Reporting Portal

Please note: this portal is for reporting 2018-19 financial year wholesale liquor sales transaction data or lodging an exemption from the reporting requirements.

The wholesale reporting portal will remain open until midnight 15 August 2019 AEST to ensure all licensees have the opportunity to report their data to the VCGLR.

Licensees who hold at least one of the following licences need to use this portal, to either report their wholesale transactions or lodge an exemption.

  • Pre-retail licence
  • Producer's licence
  • Limited licence, including:
    • renewable limited
    • temporary limited

Producer's Licencees

Due to the transition from a wine and beer producer’s licence to the producer’s licence in October 2018, holders of a producer’s licence will need to report wholesale data for both licences; this can be combined into one report and submitted against their current producer’s licence. Getting started

  1. Register an account.
  2. Login to the portal.
  3. Associate your licence to your account.
  4. Answer the questions to determine if you qualify as exempt or if you are required to report.

If you are required to report wholesale transactions:

  • You must do so using the approved CSV template. Please download a current copy.
    You can upload a file that is either a CSV (comma separated values) or a TSV (tab separated values) text file.
    The CSV can be created from Excel.
  • Do not amend the columns or headings. Doing so will require your file to be corrected and resubmitted.
  • Only use valid Victorian Liquor Licence Numbers. Validation may result in your file having to be corrected and resubmitted.
    If you do not know the licence number of the retailer or wholesaler who purchased your product, you can check on Liquor Licence and Applications Online or on the Data page on the VCGLR website.
  • Get more information on setting up your file and errors you may receive.
  • You can also use the Wholesales Sales CSV Builder application, available on the Wholesales Sales Data – collecting and reporting web, to produce a CSV file in the required format.
  • All information submitted via this portal is encrypted and secure.
  • The Victorian Commission for Gambling and Liquor Regulation (VCGLR) will collate data and report to the Victorian government. The final report will de-identify all sensitive commercial data.
  • The VCGLR is committed to responsible and fair handling of personal information consistent with the Privacy and Data Protection Act 2014 and its obligations under the Liquor Control Reform Act 1998 and the Liquor Control Reform (Wholesale Liquor Supply Information) Regulations 2015.
